We are currently seeking a proactive, organized Executive Virtual Assistant with excellent communication skills to support a client's leadership team with the management of schedules, projects, communication, and strategic tasks.

Main Responsibilities

Calendar & Email

      Manage executives' calendars and emails, ensuring alignment with priorities.

Meeting Coordination

      Coordinate meetings, prepare agendas and presentations, and take minutes.

      Coordinate meeting details and organize location, logistics, and travel arrangements.

      Support the development of presentations and speeches, including talking points and slides.

Task Management

      Handle administrative tasks: expense reports, follow-up on pending items, and document editing and proofreading.

Project Management

      Support strategic projects from planning through execution.

      Carry out specific or ad hoc projects assigned according to business needs.

Social Media Management

      Assist in creating content for the CEO's social media accounts, including YouTube, Facebook, Instagram, and LinkedIn.

      Manage the CEO's LinkedIn account: connection requests, messages, posts, and comments.

      Support strategic LinkedIn outreach for fundraising efforts.

Research

      Research and prepare executive summaries of books, articles, and strategic topics.

      Maintain proactive communication and provide comprehensive support to senior leadership.

Requirements

      Advanced English (C1–C2).

      Experience: 2–4 years as an Executive Assistant, Virtual Assistant, or similar role at U.S.-based companies, preferably in real estate.

Knowledge

      Schedule, task, and project management.

      Google Workspace (Gmail, Docs, Sheets, Slides, Drive).

      Familiarity with and ability to use artificial intelligence tools for content generation and other purposes.

Skills

      Excellent written and verbal communication skills.

      Strong organization and attention to detail.

      Ability to prioritize, anticipate needs, and work independently.

      Acts as a partner/ally, not just as support.

      Determined, with a high level of commitment to execution.

      Confidentiality and handling of sensitive information.
