About the Role

We are seeking a detail-oriented Legal Medical Records Specialist to join our growing personal injury law firm. This position is essential to the smooth flow of our cases, ensuring that all medical documentation is obtained, organized, and ready for use in case evaluation, settlement demands, and litigation.

Key Responsibilities

• Request, track, and follow up on medical records and billing statements from healthcare providers.
• Maintain detailed logs of all record requests, costs, and receipt dates.
• Review records for completeness and accuracy; identify missing documentation.
• Organize and label records chronologically or by provider for attorney and case manager review.
• Prepare concise treatment timelines, and outstanding balance reports.
• Ensure compliance with HIPAA and firm confidentiality standards.
• Collaborate with attorneys and case managers to ensure timely case development and settlement preparation.

Qualifications

• Previous experience in a personal injury law firm or medical records department preferred.
• Knowledge of medical terminology, HIPAA regulations, and healthcare billing.
• Proficiency with case management software (e.g., FileVine, Needles, SmartAdvocate).
• Excellent organization, follow-up, and communication skills.
• Strong attention to detail and ability to manage multiple requests simultaneously.
